AI processing disclosure

Version: October 12, 2026

What happens when AI reading is on, and what stays off it.

In short

When AI reading is on, your uploaded event-order pages and menu text for translation go to Anthropic, PBC through its API, which reads them into fields for your review. Under its commercial terms, Anthropic may not train on your data, and it deletes API inputs and outputs within 30 days unless it must keep them for safety or legal reasons. Switch it off to keep client names and pricing off Anthropic. Staff records are never sent; an event order may show printed names such as the catering contact. Nothing counts until you confirm it.

What is sent

The page images and text of the event orders and change notices you upload, while AI reading is on.

Menu text, while translation suggestions are on (a separate switch).

Staff records are never sent; an event order may show printed names such as the catering contact, and those are read with the page.

Switching it off

AI reading and translation suggestions are on by default for a new hotel. A manager can switch either one off for the hotel in Settings. You can still bring events in from a spreadsheet or enter them by hand; neither uses AI.

A person confirms everything

AI reading fills in fields for your review. Nothing it reads counts until a person confirms it, and allergens it reads start unconfirmed.

What Anthropic keeps

We read Anthropic's commercial terms and its data-retention page on October 12, 2026. They say Anthropic may not train models on customer content from its API, and that it deletes API inputs and outputs within 30 days of receiving or producing them, unless they must be kept longer for legal reasons or because they were flagged under its usage policy. If those terms change, we update this page.

Our key to Anthropic's API stays on our servers. Your browser never talks to Anthropic directly.
