Banquet captain and staff scheduling app

Written by a hotel banquet operations manager

Your banquet team doesn't sit at a desk. Hotelwright gives captains and staff a phone view of their week, one job per screen, in the language each person picks. It's a link, not an app store download.

14-day trial, no cardEnglish · Español

Drawn for a fictional hotel. Yours comes from your own event orders.

For servers, bartenders and housemen

Staff see the next 14 days: each shift with call time, room, event, role and break, plus their tasks for the event in time order. They confirm or decline with a tap, set their availability, report a call-out and see who else is on their events.

Handing a shift back far enough ahead re-posts it for someone else; closer in, it counts as a call-out. The screen says which before they tap.

For captains

Captains see the whole week and their own events in detail: the crew, who has confirmed and who hasn't, and the event's task list. What else they can do is your call: tick tasks only; also assign people and tasks; or also edit the event's counts and times.

They never touch settings, billing, the roster or events they aren't named on. You can require two-step sign-in for captains.

Open shifts without the group text

Post an unfilled slot and it's released on your schedule: regular staff first, then each on-call tier and agency after the delay you set. The first person to tap gets it, and anyone after sees it was just filled. If taking it would trip a schedule check, the tap becomes a request you approve or decline.

Rather call in a strict order? Turn on the suggested call order and shifts are offered to one person at a time, each with a response window, and every offer is logged.

English and Spanish, person by person

Each person picks English or Español, and their screens and notices follow it. Allergen names and dietary codes come from a fixed bilingual dictionary, never machine translation. The staff schedule and line-up card can print with a second language too.

When something changes

A change after publishing goes only to the people on that event. A guarantee move of 10% or more, or any time or room change, notifies them and is highlighted on reprints. Staff can mute routine notices, but shift offers always come through.

When a server calls out, the shift turns to Needs cover, you and the event's captains are told, and their tasks are flagged so nothing gets dropped. Pick cover from the Suggested order, or re-post it as an open shift in one click.

FAQ

What banquet managers ask.

Do staff need to download an app?

No. They get an invite by email and open their shifts in the phone's browser. Invites expire after 7 days.

Which plans include the phone views?

Captain logins come with the Staffing and Team plans. Staff logins, publishing, open shifts and notices are on Team.

Can staff see each other's hours?

No. Staff see their own shifts and the crew list for the events they're on, never anyone else's hours.
