Daily Event Sheet from your event orders

Written by a hotel banquet operations manager

The Daily Event Sheet is the one page that runs the day: every function in time order, where it is, how many are coming and who's working it. Here's what belongs on it, and how to stop retyping it from the BEOs every week. Some hotels call it the daily function sheet, the cover sheet or the daily events report.

What goes on a Daily Event Sheet

One page per day, events in time order. For each event Hotelwright can print:

  • EO number, client or event name, and room
  • EXP, GTD and set counts, setup style and service type
  • Courses, bars, special meals and VIP tables
  • Setup, call, start, end and strike times
  • Slots by role with names filled in, and a blank line for any slot still open
  • Captains on the event, a summary of its tasks, and notes

Built from the event orders, not retyped

Upload the week's BEOs, confirm what was read, and the sheet is built from that. Field settings decide what prints, so a hotel that never sells VIP tables doesn't give up a column to them.

Call it what your team calls it. Daily Event Sheet is the default; Cover Sheet, Staffing Sheet, Daily Events and Line-up Sheet are ready to pick, or type your own name. It follows through on screen, on the PDF and in emails.

Times are shown in your hotel's time zone, and a wedding that runs past midnight stays on the day it started.

Reprints that show what changed

Every sheet you print is kept with its time. When a guarantee moves or a room changes, that sheet is marked Stale instead of being replaced, and the board tells you what to reprint. The new version highlights the changed cells, so the captain on the Terrace sees at a glance that 80 became 95.

Need the paper trail? The log of changes prints per day, or everything since the last print, with who made each change and where it came from.

The packet that goes with it

The print packet is the Daily Event Sheet followed by each event's EO pages, repeated once per assigned server on the Staffing and Team plans (on Paperwork you type the number of copies). A page that belongs to two events prints in both packets. Large weeks build one day at a time. Buffet labels print from the same week.

A sample, not a download

The sheet above is drawn for a fictional hotel to show the layout. The real one comes from your own week: start the trial, upload one week of event orders and print it. Every printed copy is kept, so you can hold it next to the sheet you build by hand today.

FAQ

What banquet managers ask.

What's the difference between a BEO and a Daily Event Sheet?

A BEO covers one function in full detail. The Daily Event Sheet puts all of the day's functions on one page, in time order, with counts, times and who's working, so the team can run the day from it.

Can we choose what prints on the sheet?

Yes. Each field can be switched on or off in settings. A free-form layout designer isn't part of the product.

Can it print the whole week?

Yes. One page per day, and a week prints as a set.

Is the Daily Event Sheet on every plan?

Yes, along with packets and labels. Crew names on the sheet come from assignments, which are part of the Staffing and Team plans.
