How many barbacks does a banquet bar need?

Written by a hotel banquet operations manager ·

Hotelwright starts every hotel at 1 barback once an event with a bar reaches 101 guests and 2 barbacks from 251 guests, and none at all when the event has no bar; these are starting points, not rules.

The short answer

Guests (event has a bar)Barbacks
100 or fewer0
101 to 2501
251 or more2
Any number, no bar0

The barback count follows the guest count and whether there is a bar. It does not follow the number of bars, so a 150-guest event with three bars still gets 1 barback by this rule. Other sources publish different numbers, and the right one depends on your bars, your menu and your house standard. Your house standard wins.

Bartenders here use 1 per 100 guests, rounded up, with at least 1 per bar. See bartenders per guest.

Why the step is at 101, not at 100

The step starts at the first guest above 100. At exactly 100 guests the bartender ratio gives 1 bartender and no barback. One guest later it gives 2 bartenders and 1 barback. If that jump feels abrupt, edit the step: the guest numbers and the counts are settings.

When to add a barback below the line

The ratio cannot see everything. Add one, even on a small event, when:

  • The bar is far from the back bar or the ice
  • The menu has specialty or made-to-order cocktails
  • Draft beer or kegs, or a wine pour from the bar for the whole room
  • Glassware turns over quickly, such as a reception where everyone arrives at once

What a barback does

A barback supports the bartenders: restocking ice, garnishes and glassware, changing kegs, and clearing the bar so the bartender stays on the guest. The list varies by hotel. Treat it as your own.

In Hotelwright

The barback steps are settings you edit, and the plan shows the reason beside the number, for example "Barback: 1. Starts at 101 guests". Barback call is 75 minutes before the event starts and out 45 minutes after, the same as bartenders. When an event has no bar, the barback line stays at 0. Editing ratios and planning staff are Team plan features. See banquet staffing software and the printable ratio sheet.

FAQ

What banquet managers ask.

Do I need a barback for a small event?

By Hotelwright's starting points, not at 100 guests or fewer. Add one if the bar is hard to reach or the drink menu is complicated.

How many barbacks for 200 guests?

One, as a starting point. The first step starts at 101 guests and the second at 251.

How many barbacks for 300 guests?

Two, as a starting point.

Does the number of bars change the barback count?

Not in the starting rule. The count follows the guests and whether there is a bar. Bars drive the bartender count instead, with at least 1 per bar.

Is a barback the same as a busser?

No. A barback works behind the bar for the bartender; a busser works the floor for the servers.

What call time does a barback have?

Hotelwright's default is 75 minutes before the event starts and out 45 minutes after it ends.
