How many housemen does a banquet setup need?

Written by a hotel banquet operations manager ·

Hotelwright starts every hotel with a houseman table for each setup style: rounds go from 1 houseman to 2 at 101 guests and 3 at 251, classroom and theater need 2 only from 151 and 201 guests, and a dance floor or a stage needs 1; these are starting points, not rules.

The short answer

Roundsup to 100 guests101 to 250251 or more
Classroomup to 150 guests151 or more—
Theaterup to 200 guests201 or more—

Other sources publish different numbers, and the right one depends on your room, your inventory and how much carrying there is. Your house standard wins.

Why the style matters more than the meal

Rounds mean carrying and placing many tables, chairs and linens. Classroom and theater put more guests in less space with chairs in rows, so the same number of people can set more guests. A dance floor or a stage is a single build. That is why the table starts from the setup style and then the guest count, and not from the service type that drives servers.

When the setup has more than one style

An event order might say "Rounds with dance floor". Hotelwright looks at every table that matches words in the setup description and takes the one that gives the larger count. For 300 guests, "Rounds with dance floor" gives 3 (rounds) rather than 1 (dance floor).

If nothing in the setup description matches a table, Hotelwright uses the first table (rounds) and says so in the reason beside the number, so a person can fix it. Set the setup style on the event to get an exact match.

The guest count is the count you choose to staff from

Housemen use the same count as every other role: the guarantee, falling back to expected until a GTD comes in, unless you switch the hotel to expected, set, or the highest of the three. For housemen the "set" count (the count the room is set for) is often the most relevant one. If your hotel sets rooms to an overset number, consider staffing from "set". See the guaranteed guest count.

Houseman hours follow the room, not the meal

Housemen are called at the room's setup start and out at its strike end, not at a fixed offset from the event. By default they are also the one role that can work across events: one houseman can cover several rooms in a day, and overlapping shifts on different events are not flagged as booked twice. Hotelwright does flag a houseman who is in more rooms at once than your limit, three by default. See banquet call times.

In Hotelwright

The tables are settings you edit, one per setup style, and the plan shows its reason beside the number, for example "Houseman: 2, rounds setup table at 120 guests". Editing tables and planning staff are Team plan features. See banquet staffing software, the printable ratio sheet and room setup styles.

FAQ

What banquet managers ask.

How many housemen for a banquet of 200?

For rounds, 2 as a starting point (the second starts at 101 and the third at 251). For theater, 1 (the second starts at 201). For classroom, 2 (the second starts at 151).

Do housemen scale with the meal service?

No. They follow the setup style and the guest count.

How long before the event do housemen start?

At the room's setup start on the event order. If the order has none, the event's own start is used.

Can one houseman cover two rooms?

Yes, for the houseman role. Overlapping shifts on different events are allowed for roles that work across events, and the "too many rooms at once" flag only fires above your limit (three by default).

What if the setup style isn't on the order?

The first table (rounds) is used and the reason says so. Enter the setup style on the event to fix it.

What do housemen do?

They build and break down the room: tables, chairs, staging, the dance floor, and moving equipment. See banquet houseman duties.
