Bartenders depend on the bars, not the service style: see "Bartenders and barbacks" below.
How the numbers are worked out
The calculator runs the same staffing rules Hotelwright starts every hotel with, the ones behind the printable staffing ratio sheet and the servers per guest guide:
| Role | Starting point | Rounding |
|---|---|---|
| Server, plated dinner | 1 per 20 guests | Round up |
| Server, plated with poured wine or French service | 1 per 16 guests | Round up |
| Server, buffet | 1 per 30 guests | Round up |
| Server, reception stations | 1 per 40 guests | Round up |
| Server, passed hors d'oeuvres | 1 per 25 guests | Round up |
| Server, coffee break | 1 per 100 guests | Round up |
| Bartender | 1 per 100 guests, at least 1 per bar | Round up |
| Bartender, cocktail hour | 1 per 50 guests, at least 1 per bar | Round up |
| Barback (events with a bar) | 1 from 101 guests, 2 from 251 | Fixed steps |
| Busser | 1 per 3 servers (1 per 2 with a VIP table) | Round down |
| Captain | 1 from 50 guests or 4 servers, plus 1 for each full 250 guests | Whole people |
Servers come first. Bussers follow the server count, so they round down: 9 servers at 1 per 3 is 3 bussers, and 11 servers is also 3. Servers round up because half a server can't carry a station.
Bartenders and barbacks
Divide the guest count by 100 and round up (by 50 if there is a cocktail hour). Then check the bars: every bar needs at least one bartender. With 150 guests and 3 bars, the guest count says 2 and the bars say 3, so the answer is 3. With no bars, the answer is 0. For more worked examples, see how many bartenders per guest.
A barback is added at an event with a bar: 1 from 101 guests and 2 from 251.
Captains
The first captain is added at 50 guests or at 4 servers, whichever comes first. A second captain is added at 250 guests, a third at 500.
When to go above the result
The calculator can't see the room. Add people for a long carry from the kitchen, service across two levels or rooms, a head table or VIP table that needs extra hands, a tight turn between two functions, or heavy dietary needs. The ratio sheet has the full list.
Which guest count to enter
Use the guarantee once it is in and the expected count until then. A crew built from an old number is an easy way for a room to end up short. The guaranteed guest count guide explains how the three counts differ.
What Hotelwright does with it
The calculator works one event at a time. On the Team plan, the same calculation runs in Hotelwright for every event on the week, straight from the event orders you upload, and unless you type a count in yourself, it never takes a crew below the people you have already assigned. Every ratio is a setting you can change. See banquet staffing software.
FAQ
What banquet managers ask.
Is the calculator free? Do I need an account?
It is free and needs no account or email. It runs in your browser and stores nothing.
How many servers do I need for a banquet?
Divide the guest count by the ratio for your service style and round up: 180 guests plated is 180 ÷ 20 = 9 servers, and a buffet is 180 ÷ 30 = 6. Add bussers, bartenders and captains from the table above.
Why these numbers?
Different guides assume different kinds of service, and your own house standard wins. Hotelwright starts at 1 per 20 for a plated dinner; treat the result as a starting crew, not a rule.
Can I change the ratios?
Not in this calculator. In Hotelwright every ratio is a setting, on the Team plan.
Does it include housemen or call times?
No. Housemen depend on the room setup and call times on the event's start time. On the Team plan, Hotelwright works both out per event.
