What a banquet captain does
The captain makes the event order happen with the people who showed up. On a typical function that means reading the latest BEO, checking the room and the crew, holding the line-up, keeping the timeline, and sending the numbers to the office afterwards. The captain usually doesn't carry a station; they watch the whole room so the servers can work theirs. The step-by-step version lives in the banquet captain checklist. This page covers the role.
The event order and the room
- Read the latest BEO and check its revision date against the copy you printed
- Compare the guarantee with the set count
- Walk the room against the order: table count, seat count, head table, stations and bars
- Check that the buffet labels and the Daily Event Sheet were printed from the latest version
The team and the line-up
- Know who is working, their call times and who has the bars and stations
- Hold the line-up before doors: assignments, timing, the plan for the first course and who to go to with a question
- Make sure the team knows the VIP guests, special meals and any notes
Service and timing
- Keep the timeline: food out, speeches, toasts and breaks on the clock
- Tell the kitchen and the client contact early if something shifts
- Replenish the buffet before it looks empty and clear dead plates quickly
- Plan breaks around service so nobody is missed
Guests and allergens
- If a guest asks about an allergen, check with the kitchen. Never guess.
- Know which tables have guests with allergies and who is serving them
The hand-off and records
- Strike the room as the BEO says and check for lost property
- Confirm the final count and note anything extra the client used
- Send in-and-out times to the office so hours are right
- Write a hand-off note: what went wrong, what went well, what the next shift needs
Captain, server and manager: who does what
This varies by hotel. One way to split it:
| Area | Captain | Server | Banquet manager |
|---|---|---|---|
| Main job | Leads the floor for one event | Serves a section or station | Runs the banquet operation across events |
| Reads the BEO | In full, and checks the room against it | The parts that affect their section | Staffs from it and handles changes |
| Line-up | Holds it | Attends | Sets the plan |
| Guest and client contact | The main floor contact | Guest service at their tables | Escalations and the sales hand-off |
| Counts and times | Reports them | Reports their own in and out | Approves and signs off |
Skills that matter
- Reading a BEO fast. Finding the times, counts, service style and notes in under a minute.
- Calm direction. Short, clear instructions, given early, to people who are carrying plates.
- Bilingual communication where your team needs it.
- Timeline control. Knowing what has to happen in the next fifteen minutes and what is behind.
- Honesty with the kitchen. Allergen questions are checked, never guessed.

Captains on their phone
Captains who work with Hotelwright see the week and their own events in detail on their phone: the crew, who has confirmed and the event's task list. The hotel decides what a captain can do, with three levels: tick tasks; also assign people and tasks; also change the crew counts and times. Captains can act only on events they are named on and never touch settings, billing or the roster. Two-step sign-in can be required for captains. On the Team plan, captains get their own logins. See the banquet captain and staff app.
