How many servers for a buffet lunch?
Written by a hotel banquet operations manager ·
Hotelwright starts a buffet lunch at 1 server per 30 guests. Here is the crew that gives at common guest counts, and how each number is worked out.
| Guests | Servers | Captains |
|---|---|---|
| 25 | 1 | 0 |
| 50 | 2 | 1 |
| 100 | 4 | 1 |
| 150 | 5 | 1 |
| 200 | 7 | 1 |
| 300 | 10 | 2 |
| 500 | 17 | 3 |
Hotelwright's starting default, editable per hotel: 1 server per 30 guests.
What shapes the crew at a buffet lunch
A buffet lunch is a race against a clock the guests are running. When the lunch sits inside a meeting day, people want to be fed and back at their session, so the line has to move and the tables have to clear while it does. The pace is set by the line, not by courses from the kitchen.
Hotelwright starts a buffet lunch at 1 server per 30 guests, the same number as breakfast and dinner. The rule reads only the style, so it cannot tell a single line from a double-sided one, or a quiet working lunch from a lively one. Servers refill, clear and look after drinks while guests serve themselves, and every extra line is more pans to keep full.
The room may also flip from classroom to rounds and back. That is the houseman's count, set by setup style, not the servers'.
How it's calculated
Servers: the guest count divided by 30, rounded up. At 100 guests that is 4.
Captains: the first one from 50 guests or 4 servers, then 1 more for every 250 guests.
Bartenders are added only when the event has a bar: 1 per 100 guests, at least 1 per bar.
The count is the guarantee once it is in, and the expected count until then. Hotelwright never takes a count below the people already assigned, and every ratio is a setting each hotel edits. The servers per guest guide compares every style of service, and the printable ratio sheet puts them on one page.
A buffet lunch uses the same buffet ratio as breakfast and dinner. Servers clear, refill and look after drinks while guests serve themselves.
Three tips
- Release tables in waves. When the lunch has a hard stop, call tables to the line one at a time so it never backs up, and let the captain keep the order moving while servers stay on the food.
- Time the second round of pans to the clock. Ask the kitchen to send the restock before the first pans run low, so the last table sees the same line as the first.
- Start clearing at the first release. Put bussers on the floor when the first table goes to the line, not when the line closes. At 100 guests the starting ratios give 4 servers and 1 busser (1 per 3 servers, rounded down).
FAQ
What banquet managers ask.
How many servers do you need for a 100-guest buffet lunch?
Hotelwright starts at 4 servers for 100 guests: 1 server per 30 guests, rounded up. It is a starting default that each hotel edits.
Does a buffet lunch need a captain?
From 50 guests or 4 servers, Hotelwright starts with 1 captain, then adds 1 more for every 250 guests. At 100 guests that is 1.
Do I staff from the expected count or the guarantee?
From the guarantee once it is in, and the expected count until then. Hotelwright shows which count is driving each crew.
Does a double-sided buffet line need more servers?
The ratio does not see lines, so it will not add anyone for a second side. A second side doubles the pans to keep full, so if the order shows two sides, add a person by typing the server count on the event.
Does a working lunch, where the meeting goes on while people eat, change the crew?
Not in the ratio, which reads only the style of service. A working lunch changes how the crew works: quiet clearing, drinks topped up without interrupting. If you want more or fewer people than 1 per 30, type the count on that event.
When the default is wrong for you
The buffet ratio is one setting for every meal: change “Guests per server: Buffet” in Settings › Staffing › Ratios (Team plan), or type the count on the lunch event if only lunch is different.
