What shapes the crew at a reception with stations

At a reception with stations the guests go to the food. Servers do not pass food; they keep stations full and the room clear, so the evening is shaped by where the stations and bars stand, not by courses. The thing to plan is traffic: queues form at the bars and the busiest stations, and a crowded corner is a service problem.

Hotelwright starts stations at 1 server per 40 guests, looser than passed hors d'oeuvres (1 per 25) because guests walk to the food. The bar is counted on its own: 1 bartender per 100 guests, at least 1 per bar, 1 per 50 when the event is marked as a cocktail hour, and a barback from 101 guests. At 200 guests with one bar the starting ratios give 5 servers and 2 bartenders.

What the rule cannot see is the number of stations. It counts guests, not stations, so a floor plan with more stations than servers means somebody is covering two.

How it's calculated

Servers: the guest count divided by 40, rounded up. At 100 guests that is 3.

Captains: the first one from 50 guests or 4 servers, then 1 more for every 250 guests.

Bartenders: the guest count divided by 100, rounded up, at least 1 per bar, and 1 per 50 guests during a cocktail hour.

The count is the guarantee once it is in, and the expected count until then. Hotelwright never takes a count below the people already assigned, and every ratio is a setting each hotel edits. The servers per guest guide compares every style of service, and the printable ratio sheet puts them on one page.

At a reception with stations guests go to the food, so servers mostly clear and restock, and one server covers more guests than at passed hors d'oeuvres.

Three tips

  1. Count stations and bars on the floor plan first. A station nobody stands at is a closed station. Set the station count beside the server number, and if the plan has more stations than servers, decide which are self-serve and which get a person.
  2. Plan the restock route. Stations are refilled from the kitchen all evening. Keep that route away from guest traffic and the bar queues, or the servers become the traffic jam.
  3. Keep the bar queue away from the food queue. Place bars away from the busiest stations so the two lines do not merge. Bartenders and the barback are counted from their own ratios, apart from the servers.

FAQ

What banquet managers ask.

How many servers do you need for a 100-guest reception with stations?

Hotelwright starts at 3 servers for 100 guests: 1 server per 40 guests, rounded up. It is a starting default that each hotel edits.

Does a reception with stations need a captain?

From 50 guests or 4 servers, Hotelwright starts with 1 captain, then adds 1 more for every 250 guests. At 100 guests that is 1.

Do I staff from the expected count or the guarantee?

From the guarantee once it is in, and the expected count until then. Hotelwright shows which count is driving each crew.

How many servers per station?

Hotelwright does not count stations. The ratio is 1 server per 40 guests for the whole room, so the number of stations is a check you make against it. If the order has more stations than the ratio gives you servers, raise the server count on that event.

Who decides how many bars there are, and how many bartenders each gets?

The bars come from the event order; Hotelwright reads them and does not choose them. Each bar gets at least 1 bartender, and the guest count adds more at 1 per 100, or 1 per 50 for a cocktail hour. A barback comes in from 101 guests and a second from 251.

When the default is wrong for you

If your stations need more or fewer servers, change “Guests per server: Reception stations” in Settings › Staffing › Ratios (Team plan); the bar fields are in the same place.
