How many servers for a plated breakfast?
Written by a hotel banquet operations manager ·
Hotelwright starts a plated breakfast at 1 server per 20 guests. Here is the crew that gives at common guest counts, and how each number is worked out.
| Guests | Servers | Captains |
|---|---|---|
| 25 | 2 | 0 |
| 50 | 3 | 1 |
| 100 | 5 | 1 |
| 150 | 8 | 1 |
| 200 | 10 | 1 |
| 300 | 15 | 2 |
| 500 | 25 | 3 |
Hotelwright's starting default, editable per hotel: 1 server per 20 guests.
What shapes the crew at a plated breakfast
A plated breakfast runs on the clock. When it leads into a meeting, every plate has to reach the table together and the room has to clear on time, so the pressure falls on the first minutes of service rather than on a long evening of courses.
Hotelwright starts any plated meal that begins before 3 pm at 1 server per 20 guests. It is a setting of its own, apart from the plated dinner ratio (1 per 20), so a hotel that staffs breakfast lighter or heavier can say so. The count reads the plated style, whether wine is poured, and the start time. It does not read the number of courses.
What the table leaves out is the early call. Servers are called 120 minutes before the start by default, so an 8:00 breakfast calls them at 6:00, and that early start is part of the real shift.
How it's calculated
Servers: the guest count divided by 20, rounded up. At 100 guests that is 5.
Captains: the first one from 50 guests or 4 servers, then 1 more for every 250 guests.
Bartenders are added only when the event has a bar: 1 per 100 guests, at least 1 per bar.
The count is the guarantee once it is in, and the expected count until then. Hotelwright never takes a count below the people already assigned, and every ratio is a setting each hotel edits. The servers per guest guide compares every style of service, and the printable ratio sheet puts them on one page.
Hotelwright reads a plated meal that starts before 3 pm as breakfast or lunch and keeps a separate ratio for it, so a hotel can staff breakfast lighter or heavier than dinner.
Three tips
- Pre-set the table. Juice, water, butter, preserves and any pastry or fruit the menu allows go out before the doors open, so the first minutes of service are plates and coffee, not setup.
- Give coffee an owner. Hot-drink refills do not stop until the plates are cleared. One server who owns the pour keeps the plate servers on plates.
- Plan the early call. An 8:00 start calls servers at 6:00 and keeps them until 60 minutes after the end. If the same people work that evening, look at the Schedule checks for a Split shift or Spread of hours flag. They flag, you decide.
FAQ
What banquet managers ask.
How many servers do you need for a 100-guest plated breakfast?
Hotelwright starts at 5 servers for 100 guests: 1 server per 20 guests, rounded up. It is a starting default that each hotel edits.
Does a plated breakfast need a captain?
From 50 guests or 4 servers, Hotelwright starts with 1 captain, then adds 1 more for every 250 guests. At 100 guests that is 1.
Do I staff from the expected count or the guarantee?
From the guarantee once it is in, and the expected count until then. Hotelwright shows which count is driving each crew.
What time are servers called for a plated breakfast?
Hotelwright's default is 120 minutes before the start, so 6:00 for an 8:00 breakfast. Bartenders default to 75 minutes before, so 6:45. Each role's lead time is a setting: change “Called this many minutes before start” under Roles in Settings › Staffing if your breakfasts need more or less setup.
Does a plated breakfast with a mimosa or Bloody Mary bar need bartenders?
Only if the event has a bar. Bartenders are counted per bar: 1 per 100 guests, at least 1 per bar, and a barback is added from 101 guests. Add the bar to the event and the bartender count follows. Servers are counted separately, at 1 per 20.
When the default is wrong for you
If your breakfasts need a different crew from dinner, change “Guests per server, plated breakfast or lunch” in Settings › Staffing › Ratios (Team plan); it covers every plated meal that starts before 3 pm.
