What shapes the crew at a coffee break

A coffee break is a short service with a sudden start. Nothing happens until the session lets out; then every guest wants a cup at once, and soon after the room is empty again. The work is in the setup before and the clearing and restocking after, so a break is staffed for readiness, not for headcount.

Hotelwright starts a coffee break at 1 server per 100 guests, the loosest server ratio of any service, because guests serve themselves from the station. A break for up to 100 guests gets one server; 150 guests get two. Servers are called 60 minutes before the start, half the 120 minutes servers get for a meal, and housemen follow the room's setup and strike times instead.

The rule counts guests, not stations. A break laid out in separate corners, with coffee, snacks and cold drinks, may need a person at each, however few guests are in the room.

How it's calculated

Servers: the guest count divided by 100, rounded up. At 100 guests that is 1.

Captains: the first one from 50 guests or 4 servers, then 1 more for every 250 guests.

Bartenders are added only when the event has a bar: 1 per 100 guests, at least 1 per bar.

The count is the guarantee once it is in, and the expected count until then. Hotelwright never takes a count below the people already assigned, and every ratio is a setting each hotel edits. The servers per guest guide compares every style of service, and the printable ratio sheet puts them on one page.

Staff for a coffee break are called 60 minutes before it starts by default, so the break is set before guests come out.

Three tips

  1. Time the refresh to the session, not the clock. Ask the planner when the session actually lets out, and have the coffee hot and the station full the minute the doors open.
  2. Plan the reset as carefully as the service. When guests drift back, the station needs clearing and restocking, and re-setting if another break follows. Say who does it before the break starts.
  3. At 1 per 100, one person is the whole break. For a single station that is fine. Give that person a relief, or someone to fetch from the kitchen, so the station is never left alone.

FAQ

What banquet managers ask.

How many servers do you need for a 100-guest coffee break?

Hotelwright starts at 1 server for 100 guests: 1 server per 100 guests, rounded up. It is a starting default that each hotel edits.

Does a coffee break need a captain?

From 50 guests or 4 servers, Hotelwright starts with 1 captain, then adds 1 more for every 250 guests. At 100 guests that is 1.

Do I staff from the expected count or the guarantee?

From the guarantee once it is in, and the expected count until then. Hotelwright shows which count is driving each crew.

A conference day has a morning and an afternoon break. Is that one event or two?

Two, when the order lists them as separate breaks. Each break is its own event, with its own crew line and its own call time, and the same server can work both. Besides “Coffee Break”, Hotelwright has separate fields for “AM Coffee Break” and “PM Coffee Break”, all 1 per 100 by default, so a morning break and an afternoon break can run on different ratios.

Does a coffee break get a busser?

Only once there are enough servers. The starting ratio is 1 busser per 3 servers, rounded down, so a break needs 3 servers before it gets 1: at 300 guests that is 3 servers and 1 busser, while 200 guests get 2 servers and none. For a break that is mostly clearing, type the busser count on the event.

When the default is wrong for you

If your breaks run bigger or smaller, change “Guests per server: Coffee Break” (or the AM and PM fields) and “Coffee-break call, minutes before start” in Settings › Staffing › Ratios (Team plan).
