What shapes the crew at a passed hors d'oeuvres reception
Passed hors d'oeuvres ask the most hands of any reception style. Servers carry the food to the guests, so they never stand still: a tray goes out, comes back, is refilled and goes out again. The pace is a loop between the kitchen and the room, and the service is only as good as the staffing behind that loop.
Hotelwright starts passed hors d'oeuvres at 1 server per 25 guests, against 1 per 40 for stations. The difference is the walking: at a station the guest comes to the food, here the food goes to the guest. At 200 guests the starting ratios give 8 servers, against 5 for stations.
The rule counts guests, not items. A menu with several passed items can need more people than the number says, because each item wants its own tray and its own round.
How it's calculated
Servers: the guest count divided by 25, rounded up. At 100 guests that is 4.
Captains: the first one from 50 guests or 4 servers, then 1 more for every 250 guests.
Bartenders: the guest count divided by 100, rounded up, at least 1 per bar, and 1 per 50 guests during a cocktail hour.
The count is the guarantee once it is in, and the expected count until then. Hotelwright never takes a count below the people already assigned, and every ratio is a setting each hotel edits. The servers per guest guide compares every style of service, and the printable ratio sheet puts them on one page.
Servers carry the food to the guests, so passed hors d'oeuvres need more hands than stations. During a cocktail hour the bartender ratio tightens to 1 per 50 guests.
Three tips
- Give each server a zone and a starting item. Split the room into zones and stagger the first trays, so the first pass does not leave the kitchen as one group and the same corner is not served over and over.
- Brief every item at the line-up. A passed item has no label card, so the server has to know what is on the tray and what it contains. Walk the order's special meals and allergens before the doors open.
- Give guests somewhere to put picks, napkins and glasses. A bussing cart or a station, kept clear by a busser, keeps servers on the pass instead of turning them into the trash can. The starting ratios give 1 busser per 3 servers, rounded down.
FAQ
What banquet managers ask.
How many servers do you need for a 100-guest passed hors d'oeuvres reception?
Hotelwright starts at 4 servers for 100 guests: 1 server per 25 guests, rounded up. It is a starting default that each hotel edits.
Does a passed hors d'oeuvres reception need a captain?
From 50 guests or 4 servers, Hotelwright starts with 1 captain, then adds 1 more for every 250 guests. At 100 guests that is 1.
Do I staff from the expected count or the guarantee?
From the guarantee once it is in, and the expected count until then. Hotelwright shows which count is driving each crew.
A menu has several passed items. Does that change the count?
Not in the ratio, which counts guests, not items. Each item wants its own tray and its own round, so compare the number of items with the number of servers. If the order lists more items than the ratio gives you servers, some servers will carry two, or you can add a person by typing the server count on the event.
Can the reception servers move on to the dinner?
Yes, if the times allow. When the order lists the reception and the dinner as separate functions, Hotelwright plans them as separate events, each from its own ratio (1 per 25 for passed hors d'oeuvres, 1 per 20 for a plated dinner) and its own call time. Assign the same people to both and the Schedule checks flag a double booking or an over-long day. They flag, you decide.
When the default is wrong for you
If your passed receptions need a different crew, change “Guests per server: Passed hors d'oeuvres” in Settings › Staffing › Ratios (Team plan).
